Transfer to Relativity from Review

You can use the Transfer feature to transfer selected documents from Epiq Discovery to Relativity. To transfer documents in Inspect or Review, you need the Relativity URL and your credentials to that instance. To effectively track the transferred documents, we suggest using the Folder Document Action to create and store the documents you want to transfer. Then, when you transfer the documents, you can go to the folder and quickly select all of the documents for the transfer. For more information about foldering, refer to Move documents to folders.

When transferring documents, you must map Epiq Discovery fields to Relativity fields by automatically mapping fields with the same name and compatible data type, manually mapping fields of similar data type, or creating new fields in Relativity. For more information about data type compatibility, refer to Field mapping during transfer.

Perform the following procedure to transfer documents.

  1. In the Project page, click .
  2. In the Document List, select the documents to transfer.
    • If you added the documents to a folder, do this by clicking the icon. Then, select the folder that contains the documents to transfer. To include all documents in this folder, select the checkbox above the Document List.

  3. In the pane, click .
  4. In the page, provide the following information.
    1. In , type or paste the URL to an accessible Relativity instance.
    2. In , provide your Relativity user and password information.
    3. Click .
    4. When the message at the bottom of the box changes from to , in , select an existing Relativity workspace from the dropdown.
    5. Click .
  5. In the page, provide the following information.
    1. In , type a name to identify the job.
    2. In , select at least one of the file types to include (, , and ). For projects created before Epiq Discovery, release 3.8, that use tags instead of coding fields, you can also select .
    3. In , choose to transfer only new records, transfer only updates to existing records, or transfer both new records and updates as applicable.
    4. In , select a location from the dropdown. To narrow the number of locations that appear, type part of the location as a filter.
    5. Optional. In , you can specify how to set up the destination folder path in Relativity for the transferred documents. (If no selection, this path starts at the root folder of the selected workspace.)
      1. Select , , , , or .
      2. If you select , supply the folder name when requested. If you do not choose an option in , the documents transfer to the root folder of the workspace you selected.
    6. Click .
  6. In the Field Mapping page, choose whether to create a new Field Mapping template or select an existing one. This page enables you to map Epiq Discovery fields to Relativity fields so that the metadata transfers properly.
    1. Click to create a new Field Mapping template that maps the fields or select an existing Field Mapping template from the list.
    2. To automatically map identical field names with compatible data types, in , select and then click .

    3. After the previous step, unmapped fields appear at the top of the table. Review the unmapped fields to decide what type of mapping to do.

      • To bulk create multiple fields, check all applicable unmapped fields. Then, in , select Create fields for selected unmapped fields and then click Map.

      • To manually specify the mapping of a single field, check the field. Then, in the column, click and click the icon next to the appropriate Relativity field and close the box. If you don't find an appropriate field to map, click the , type a name for the field, and then click .

      • As needed, you can manually remove the mapping of a field. Check the field, click in the column, and then select the remove icon.

    4. Continue mapping fields until all fields you need to transfer are mapped.

    5. Optional. To save the Field Mapping template, click Save Template. While this is not a requirement, it can save time when you need to perform a similar transfer.

      • If you are updating an existing Field Mapping template and then decide to save your updates to a new Field Mapping template name, you can choose to click . When prompted, enter a name for the Field Mapping template and click .

  7. When you want to start the transfer, click .

  8. To view the status of the Transfer job, perform one of the following steps.
    • Click .
    • Navigate to the Project page and select .
  9. View the job as the status bar updates until the status bar shows 100%, which indicates that the Transfer job is complete.
    • If you cancel a Transfer job while it is running, the job stops without transferring any documents to Relativity.
    • When you transfer larger files, the system skips the job fragment that runs for more than 2 hours. If this occurs, the system cancels the transfer of the files associated with the skipped fragment and then continues and completes the transfer of other files.

    • When complete, if any documents failed to transfer to Relativity, the job page displays a job above the job, where both lines display the same Job Name. To view the report, in the Report job, click the download icon. For information about this report, refer to View Failed Transfer reports.
